Bulk Update Changes

Over the next few weeks, we will be updating our user interface to make it more consistent. The icons, buttons, fonts, formatting, and colors that appear in the screenshots below will be temporarily out of date.

Users can save time by bulk updating Changes.

When bulk updating a field or a tab, data will either be replaced (in the case of text fields and drop down menus) or added (in the case of combo boxes). Data cannot be bulk deleted.

Users must have the Update Change user permission to bulk update Changes. 

To Bulk Update Changes:

  1. Go to  Releases > Change.
  2. Click to select the checkboxes of two or more Changes (left column of the Change page).

  3. Select Bulk Update from the Action drop down menu.

  4. Perform one or more of the following actions:

    1. Under Information:
      1. Click to select a Portfolio Association.
    2. Under Change Details update:
      1. Change Status: If the Enable Change Workflow checkbox has been checked in the Change Status Customization, the Status field will be grayed out until a Change Type is selected.
      2. Change Type.
      3. Priority.
      4. Expected Delivery Date.
      5. Theme.
      6. Delivery Risk.
      7. Business Value Score.
    3. Under Additional Information:
      1. The Additional Information tab contains custom fields, which administrators have added using Change Custom Fields Customization. These fields will vary between each Plutora installation. Please consult your administrator for the procedure for filling in these fields.
  5. Click Update.
    • Only unlocked Changes will be updated. Users will be notified by pop up if any of the Changes are locked.
    • If any Change is being updated by another user, the following message will appear, noting that saving the Change will override the other user’s updates.

      • Users can then choose to continue with the save and override the updates or they can close the Change and not save their updates.
    • If any Email Template Wizard emails are set to trigger when a Change record’s Status changes, they will trigger after clicking Update.
