Plutora Test Email Templates Customization

Plutora Test’s Email Templates Customization allows Users to set up email templates that send emails which:

  • Are sent after certain trigger events, such as an updated Defect.
  • Contain specified content.
  • Are sent to specified Users or User Groups.
Users must have the Email Templates ViewEmail Templates CreateEmail Templates Update, and Email Templates Delete user permissions to fully use Email Template Wizard Customization.

Customizations Email Notifications Sept 28 2017

To add or edit an email template:

  1. Click Settings.

  2. Select a Project from the Select a Project… drop down menu in the top-left corner.
    • If you do not select a Project, the Email Template will apply to all Projects.
    • If a Project could potentially trigger two email templates, one generic and one associated with that Project, only the Project-associated email template will trigger.
    • The Project or Release selected here appears under the Email Info. tab for new or edited templates. Customization tab Sept 25 2017 select a project
  3. Click Email Notifications in the left-hand column.

  5. Add or edit an Email Template:
    1. Add an Email Template:
      1. Click New Template.

        The Create a new Email notification template pop up will open, with Email Template Information tab selected.

        Or:
    2. Edit an Email Template:
      1. Click the blue-linked Template Name.
        or
        Select Edit from the menu button (three dots) in the right-hand column.

      2. Click to select the Email Template Info. tab. (If it isn’t already selected.)
  6. Select a Project/Release: This non-editable field shows the Project or Release that was selected in Step 2.
  7. Type the Email Template Name. (Mandatory field.)
  8. Click the gray Inactive toggle switch until it is blue and Active.

    Select Inactive to prevent your Email Template sending emails.
  9. Type a Description.
  10. Type a From Email. (Mandatory field.)
  11. Type a From Name. (Mandatory field.)
    Emails sent from the template will appear to be from this email and name.
  12. Click Next.
    The Entity and Trigger tab opens.

  13. Select an Entity:
    • Defects.
    • Requirements.
  14. Select a Trigger from the When menu.
    Available Triggers vary depending on the selected Entity.
  15. Click + or to add another search query.
  16. Click Advanced Search to start adding Advanced Criteria.
    Now, both Entities – Defects and Requirements – have Advanced Search for Advanced Criteria.

    1. Select a field name by:
      • Clicking the field name.
        Or:
      • Typing the field name (excluding the leading colon. For example, not :Defect_Assignee but Defect_Assignee) and pressing the Tab key on your keyboard once the field name highlights in blue.

        The list of operators (for example, Within but it depends on the chosen field) will open once you have selected the field name.
      1. Select an operator by:
        • Clicking the operator.
          Or:
        • Typing the operator (excluding the leading colon) and pressing Tab on your keyboard once the operator highlights in blue. Operators can be combined. For example, typing Assignee not contains Rona will bring up Assignees who are not called Rona.

          The list of field options (depending on the field selected) will open once you have selected an operator.
      2. Select a field option by:
        • Clicking the field option.
          Or:
        • Typing the field option (excluding the leading colon) and pressing the Tab key on your keyboard once the field name highlights in blue.
      3. Build multiple queries by:
        1. Typing AND or OR  after the first query.
        2. Repeating Steps a to c to create another query.
      4. Delete the query by clicking the X.

    2. Search tips:
      1. Use backticks ` instead of quotes to wrap search strings.

      2. Search for more than one field option in a drop down menu by:
        1. Selecting the menu field name.
        2. Selecting the operator: Within.
        3. Selecting a field option, then type a comma (without a space) to be offered another field option to select.
          If you type a space then a comma, the operators will appear. Typing a comma only displays more field options.  
        4. Setting the query by pressing the Enter key on your keyboard.
      3. Search for strings, such as Name by:
        1. Selecting the string field name.
        2. Selecting the operator: Contains.
        3. Typing the search string.
        4. Setting the query by pressing the Enter key on your keyboard.
  17. Click Next.
  18. The Template Editor tab opens.

  19. Type an Email Subject. (The field may be called Email Header.)
  20. Type your Email Body.
  21. Drag and drop Entity Fields from the left-hand column into the body of your email. (See the full List of Entities and their Trigger Fields below.)

    Entity fields represent data, such as Defect Name, that will automatically be added to the sent email body.
  22. Click Next.

  23. Click to select recipients checkboxes:
    1. Send email to Assigned to: Sends an email to the Assigned to User. (For example, for assigned Defects.)
    2. Send email to Updater: Sends an email to the user who made the update that triggered the email.
    3. Send email to all Project Stakeholders: Send an email to stakeholders and followers.
  24. Other users or user groups:

    1. Add other users or user groups:
      1. Click the drop down menu below the checkboxes and select User Groups or individual Users.
    2. Remove other users or user groups:
      1. Click the X beside the User.

  25. Click Next.
    Preview tab opens.
  26. Check the email preview. Click Back or one of the tabs to go back and edit.
  27. Click Save and Close.

Marking an Email Template as inactive stops it from sending emails but does not delete it.

To mark an Email Template as Inactive:

  1. Click Settings.

  2. Click Email Notifications in the left-hand column.
  3. Click Email Templates.
  4. Click to open the Email Template.
  5. Click the blue  Active toggle switch until it is gray and Inactive.

  6. Click Save and Close.

To temporarily stop an Email Template from sending emails, mark it as Inactive (see above).

Deleting an Email Template cannot be undone.

To delete an Email Template:

  1. Click Settings.

  2. Click Email Notifications in the left-hand column.
  3. Click Email Templates.
  4. Select Delete from the Email Template’s menu button (three dots) in the right-hand column.

The Triggers available depend on the Entity chosen while creating the Email Template.

When adding or editing an Email Template, drag entity fields into the Mail Body field to automatically insert information. The Entity Fields available depend on the Entity chosen while creating the Email Template.
