Manage Gates And Approvals In Release Manager Visual View

Over the next few weeks, we will be updating our user interface to make it more consistent. The icons, buttons, fonts, formatting, and colors that appear in the screenshots below will be temporarily out of date.

Visual View or Gates and Approvals view in Release Manager is a convenient way to add Stakeholders as Approvers to Gates and for those Approvers to approve those Gates.

To open Visual View:

  1. Go to Releases > Release Manager.
  2. Open Visual View:
    1. Click the blue flagBlue Flagnext to the Release to open Gates and Approvals Visual View.


      Or if the Visual View column is not visible:
    2. Click the Release ID or Release Name to open the Release.
    3. Click Visual View.

Administrators need the Add Approvers to Gates and Delete Approvers to Gates user permissions to manage Approvers to Gates.

To manage Gate Approvers:

  1. Click to select a Gate.
  2. To add a Stakeholder (User or User Group) that has been already associated with the Release to the Gate:
    1. Click Click here to add stakeholder under the Stakeholder Name column.
    2. Select a User or a User Group.

      • The User or User Group will be listed as a Stakeholder for that Gate next time a User opens the Release’s Visual View and clicks the Gate.
      • If the logged-in User is a Stakeholder, they will see the Action/Date Approved column.
      • Hover your mouse cursor over a User Group in the Stakeholder Name column to show the group members.

  3. To remove an Approver from a Gate:
    1. Click to select the Stakeholder Name.
    2. Click Remove.

      • Removing a Stakeholder from a Gate does not remove the Stakeholder from the Release.
  4. Add a new Stakeholder (User or User Group) to the Release so it can be added to a Gate:

    1. Click Add New Stakeholder.
    2. Click Add Stakeholder.
    3. Select a name from the Name drop down menu.
      You can also select User Groups.
    4. Select a role from the Role drop down menu.
      Administrators can add roles using the Stakeholder Role Customization.
    5. Type an Email.
    6. Click to select a Stakeholders RACI checkbox.
    7. Click Add & Close.
    8. Click the X in the top right corner to close the Gate Approvers pop up.
      The new Stakeholder will now appear in the Click here to Add Stakeholder drop down menu.

If you have been added as an Approver for a Gate, you can approve the Gate in Visual View.

If you cannot see the Action/Date Approved column, you have not been added as a Stakeholder to the Gate.

Manage Gates in Visual View:

  1. Click to select the Gate.
  2. To approve a Gate:
    1. Click the green tick.

      The approval date appears. The Status changes from Pending to Approved.
      You can reject the Gate by clicking the red cross.
  3. To reject the Gate:
    1. Click the red cross.

      The rejection date appears. The Status changes from Pending to Rejected.
      You can approve the Gate by clicking the green tick.
  4. To manage comments:
    1. Click the Comments field.
    2. Type or edit the comment.
    3. Click outside the field to save.
  5. To manage attachments:
    1. Add attachments:
      1. Click the blue linked number in the right-hand column.
      2. Click Add Attachment.
      3. Close the pop up by clicking the X in the top right corner.
    2. View attachments:
      1. Click the blue linked number in the right-hand column.
      2. Click the blue eye.
        View attachment
      3. Close the pop up by clicking the X in the top right corner.
    3. Download attachments:
      1. Click the blue linked number in the right-hand column.
      2. Click the green box.
        Download attachment
      3. Close the pop up by clicking the X in the top right corner.
    4. Delete attachments:
      1. Click the blue linked number in the right-hand column.
      2. Click the red cross.
        Delete attachment
      3. Close the pop up by clicking the X in the top right corner.

To return to Release Manager:

  1. Click Go back to Releases to return to the normal Release Manager view.
